Invoices

Numbered, immutable invoices issued the moment an order is paid, credit notes for refunds, and the company details a business buyer needs.

How invoices are issued

  • An invoice is issued when an order is paid, not when checkout starts, so an abandoned checkout never skips a number. The sequence has no gaps.
  • An issued invoice never changes. Renaming your store, editing a product or correcting a tax rate later does not alter one that already exists.
  • A refund produces a credit note, with its own number in the same sequence. Nothing is edited or deleted.
  • Test orders get no invoice number.

Seller details and tax

Your legal name, address, VAT number and invoice settings are under Tax & invoicing. Each invoice records the VAT treatment it was issued under, with its legal note. That includes the reverse charge, when a buyer’s VAT number is checked in VIES at checkout.

Business buyers

At checkout, a buyer can add a company name, address, registration number and purchase order number. These are saved on the order and printed on the invoice, so their accounts department can process it without emailing you for a corrected copy.

Formats

An invoice is a printable page, and every browser saves it as a PDF. It is also available as UBL 2.1 XML for accounting systems that import e-invoices. The customer gets a link to theirs, and you find every invoice on the order page.

Quotes, proformas and payment terms

For buyers who need approval before paying, Orders → Quotes sends a quote they accept or decline from their email, and Orders → Payment terms lets trusted buyers pay later against a proforma.
