Refund policy generator

Write a refund policy that answers what customers ask: how long they have, what condition items must be in, what is excluded, how to ask, and when the money comes back. A template, not legal advice.

This is a template assembled from the answers you gave. It is information, not legal advice, and no lawyer has reviewed it. Laws differ by country, state and industry, and requirements that apply to you may be missing from it. Have it reviewed by a qualified lawyer for your own jurisdiction and circumstances before you rely on it.

Street, city, postcode, country — plus a tax number, email or phone if the document needs one.

After you approve it.

Delivery, purchase, or download — they are different dates, and customers count from whichever one you name.

Unused, original packaging, tags on, proof of purchase — whatever you actually require.

What is not covered

An email address or a form. Customers follow the instruction they can see.

Restocking fees, exchanges, faulty goods handled differently — added as its own clause.

How to use it

  1. Set the refund window and say when it starts: purchase, delivery or download.
  2. Describe the condition items must be in, and list what you exclude.
  3. Explain how customers ask for a refund and how long the money takes.
  4. Press “Save as PDF” to open your browser’s print dialog, and choose Save as PDF there or print it.

A template, not legal advice

The four questions a customer is actually asking

How long have I got, what state does it have to be in, is my thing excluded, and when do I get my money. A policy that answers those four plainly prevents most of the support conversations a vague one creates — and unlike the other documents here, this is one people read before they buy.

Say where the clock starts, too. Delivery, purchase and download are three different dates, and a customer will count from whichever one your policy names.

Exclusions are yours to list

There is no fixed list here, because there cannot be. “Digital downloads are final sale” is a normal term for some shops and an unenforceable one in some places; perishables, personalised goods and hygiene items are treated differently in different markets. List what you actually exclude, and check whether you are allowed to.

Your policy does not replace the law

Consumer law in many places gives buyers rights that a shop’s own policy cannot take away — commonly for goods that are faulty, not as described, or bought at a distance. Those rights sit on top of whatever you write here. The generated policy says as much rather than implying its own window is the whole story, because a policy that reads as though it overrides statutory rights is the kind that gets a merchant into trouble.

Questions

Can I say digital downloads are non-refundable?

Many shops do, but whether that holds depends on where your customers are. Some consumer laws allow it only if the buyer agreed before the download started. Check the rules for the countries you sell to.

Does my refund policy replace consumer law?

No. In many places buyers keep rights for faulty goods, goods not as described, and distance purchases, whatever your policy says. The generated policy says so.

When should the refund window start?

Say it explicitly. Purchase, delivery and download are different dates, and customers count from the one your policy names.

What should a refund policy include?

How long customers have, what condition items must be in, what is excluded, how to request a refund, and how long the money takes to arrive.
